Wholesale policy

Wholesale Minimum Order 

To ensure efficiency in processing and shipping, we require a minimum wholesale order of $250 CAD* before taxes. This minimum applies to both new and repeat orders and helps us maintain competitive pricing and free shipping for our valued partners. We do not split shipments below this amount. 

*Note: minimum order value increases to $350 on July 18, 2025

Ordering & Order Desk 

We encourage you to place orders through our secure wholesale website for the fastest and most accurate service. If you prefer, orders can also be placed by email, fax, or phone. Once your order is received, we will send you a confirmation email within two business days. Typically, orders are processed within 2 to 3 business days. We ship all orders using trusted carriers like Canada Post, FedEx, or UPS, and full tracking information will be provided. 

Shipping (Canada Only) 

We are pleased to offer free shipping on all wholesale orders within Canada that meet the minimum order value. Shipping times vary depending on your location relative to our warehouse in Cumberland, British Columbia. Estimated delivery times are: 

  • British Columbia: 2–3 business days 

  • Alberta and Saskatchewan: 3–4 business days 

  • Manitoba, Ontario, and Québec: 5–6 business days 

  • Atlantic Canada: 6–7 business days 

For remote regions, including the northern parts of provinces and the Canadian territories, we will automatically select the most cost-effective shipping carrier. In most cases, this is Canada Post. 

Please note the following important exceptions for PO Boxes and remote regions: 

  • PO Box addresses can only be serviced by Canada Post. If Canada Post is not operational due to service disruptions (e.g. strike or work stoppage), we will be unable to deliver to PO boxes. 

  • In the event of Canada Post service disruptions, orders to PO Boxes may be delayed or cancelled. Customers may need to provide a physical shipping address. 

  • Free shipping does not apply to alternate carriers for remote regions if Canada Post is unavailable, due to the high cost of service to those areas. 

Please note that if a package is refused upon delivery, the return shipping fees will be charged to the customer. 

USA and International Orders 

We welcome wholesale orders from the United States; however, please note that all shipping costs are the responsibility of the purchaser. A minimum order value of $350 CAD is required for all wholesale orders. US customers should be aware that orders exceeding $800 CAD may incur brokerage fees at the border. These fees are outside of Harmonic Arts’ control and must be managed by the purchaser through their own customs broker. To avoid additional charges, we recommend keeping individual orders under the $800 CAD threshold when possible.  

At this time, we do not offer wholesale sales outside of Canada and the United States. 

Pricing 

All our pricing is listed in Canadian dollars and is subject to change without notice due to market fluctuations. We encourage you to check our password‑protected wholesale website regularly for the most current pricing. Our Minimum Advertised Price (MAP) policy helps protect the value of our brand by encouraging resellers to price our products at or above the suggested retail price. 

Payment & Credit Terms 

We accept a variety of payment methods including E‑transfer, EFT, PayPal, Visa, and MasterCard. All new customers are required to prepay for their orders for at least three months before applying for credit terms. Once eligible, customers can request 30‑day payment terms by contacting our wholesale team. 

Returns & Claims 

We take pride in the quality of our products and want you to be fully satisfied. If you experience any quality issues or if there is an error with your order, please contact us immediately. In such cases, we will provide a full refund and cover the cost of return shipping. 

Unopened products may be returned within 60 days of the invoice date; however, returns are subject to a restocking fee. Please note that we do not accept returns of expired or short‑dated products. For returns that are not related to quality issues or shipping errors, the customer will be responsible for return shipping costs. All return requests must be accompanied by a completed claim form available from our wholesale website. 

Stock & Back‑Orders 

We do not offer back‑ordering services at this time. If an item is out of stock when your order is processed, it will be noted on your invoice. You can also sign up for email notifications on our website to be alerted when specific products are back in stock. 

Private Label & Repackaging 

To maintain the integrity and quality of our products, proprietary blends such as our Herbal Lattes, Teas, all Mushroom products, Restorative blends, Tincture Blends, and Syrups may only be sold under the Harmonic Arts brand. Practitioners are welcome to use our single tinctures only for compounding and repackaging for their own practice. 

Legal & Regulatory 

Our wholesale relationship is governed by Canadian federal and provincial laws. We reserve the right to refuse or cancel orders that do not comply with our policies or if we suspect misuse of our products or brand. Please note that our MAP policy complies with the Canadian Competition Act and does not impose minimum resale prices but recommends pricing at or above the suggested retail price. 

We are committed to protecting your privacy. Our collection and use of customer information complies with the Personal Information Protection and Electronic Documents Act (PIPEDA). Our privacy policy is available on our wholesale website. 

Policy Updates 

We may update this policy from time to time. Continued use of our wholesale services after changes are posted constitutes acceptance of those changes. We encourage all partners to review our policies periodically to stay informed.
